Nothing can be looked after until somebody has managed to find it.

Sensitive material in a small firm is hardly ever where the policy claims. It is in an old export on a desktop, in an attachment saved to open later, in a spreadsheet built for one job in 2019 and never thrown away. These two lines locate it first and rule on it second.

Measure first, because the figure surprises people

That first reading is frequently the most useful hour of a whole rollout. Not because the numbers are alarming, although they often are, but because they are specific. A named machine with a count against it is something a manager can act on. A general unease about data protection is not.

Putting a figure beside each machine turns unease into a queue. You work down from the machine holding the most awkward material to the one holding least, and you stop where the remaining risk is small enough to live beside. That is a plan, and it is the reason the measuring line can sensibly be bought first.

A machine with a figure against it gets dealt with. A general worry about data never does.

Governing the routes material genuinely takes

Material does not leave by the front door. It leaves through a browser upload somebody used because the share was crawling, through a personal cloud folder, through a stick in a drawer, and through a message to a home address sent at twenty past six.

Route governance works at the program, which is where those exits actually sit. Locking sits underneath it, so material that does get out is unreadable to whoever ends up holding it. Neither is turned to full strength on the first day, because a rule fitted blind will stop somebody doing the job you pay them for.

Where this movement stops

Each of the six sheets carries a block like this one. It is the section most suppliers quietly omit, and it is the section that settles whether you feel let down in a year.

  • The reading reaches what it can reach. Reading covers hardware on the bench and shares that are connected. A caddy in a cupboard, a private cloud account, a filing cabinet: all three lie wholly outside.
  • Sorting material is imperfect. Automatic identification throws up false alarms and overlooks odd formats. Tune it, read the output, and treat that first report as an opening position rather than a finding.
  • Locking protects the file, not the reader. Whoever may open a document can retype its contents into a message. That question belongs to access and to habit, and nothing on this card answers either.
  • This page is not legal advice. Knowing where regulated material sits helps enormously with an obligation. Whether the obligation has been discharged is a matter for your counsel rather than for us.
  • Holding tight can break a habit. A route that gets closed was almost certainly being used by somebody. Staging it department by department is exactly why, and we would rather move slowly than startle you.
